We built an instant onboarding system triggered by adding a client to a project in Dubsado (CRM) that:
- Automatically duplicates and renames template Google Drive folders for the new client
- Creates and sets up dedicated Slack channels with proper permissions
- Sends personalized welcome emails with all relevant links and next steps
- Ensures every client gets the same premium onboarding experience
Eliminated 1-hour manual setup per client, ensured consistent onboarding experience, and removed delays that could damage first impressions—allowing the team to focus on delivery instead of admin.
Competitor Intelligence
Manual tracking of competitor data was slow, error-prone, and fragmented across multiple platforms.
When a team member enters a competitor's name in Slack, it triggers an automated flow that:
- Queries ChatGPT for company summaries
- Gathers news and investment info
- Updates a master Google Sheet
- Sends the compiled report back to Slack
Saved several hours weekly and kept the team instantly informed with accurate, timely competitor insights for faster decision-making.
News Aggregation
News curation was overwhelming—finding relevant sponsorship articles, reading through them, and deciding what to feature was eating up hours daily with inconsistent results.
We built an intelligent news aggregation system that:
- Monitors sponsorship industry news through automated Google Alerts
- Uses Parseur to extract clean article data and metadata from Gmail
- Feeds articles into a Google Sheet with AI-generated summaries via Pipedream
- Provides simple yes/no toggles for editorial decisions
- Auto-publishes approved articles to Ghost as curated roundups via Zapier
- Always links back to original sources as a respectful aggregator
Transformed from finding 5-10 articles weekly to processing 60+ articles automatically, publishing twice-weekly roundups, and freeing up editorial time for strategic content creation.
